Booking Guidelines

Function confirmation
Hire Fee for your function space secures your booking and must be confirmed and paid for two weeks prior to the date of your function. All bookings will be held tentatively until payment for the space is made.The Function contract must be signed with the Hire Fee payment.


18th & 21st Birthdays

Can be catered for. Client pays for appropriate security for size of group.


Minors

No person under the age of 18 is permitted on the premises after 10pm.

Payment

Payment shall be received in full either before or on the night. Company cheques will be accepted only by prior arrangement. Personal cheques will not be accepted. Corporate Accounts will be sent a Tax Invoice the following business day with 7 day terms.
We accept Cash, Electronic Transfer, Visa, Diners, Mastercard and Amex. (please note Amex incurs a 3% surcharge).

Menu confirmation

All cocktail food and dinner menus along with final numbers must be confirmed and paid for 7 days prior to the event.Once numbers are confirmed, no additions can be made due to catering constraints. If number of guests decreases, no refund applies.

Cancellation

If a function is cancelled the room hire fee is non-refundable. However this amount will be retained for 30 days and can be used as part or whole Hire Fee if you hold another function within this time.

Ours

The Edinburgh Castle pours Standard Drinks as required by Liquor Licensing Regulations to ensure guests can accurately calculate their own beverage consumption. The Edinburgh Castle Hotel reserves the right to refuse service, entry to or eject any persons involved with the function without liability. The Edinburgh Castle Hotel accepts no responsibility for the loss of any personal properties before, during or after the event. The Edinburgh Castle Hotel may limit the number of drinks served per person. The Edinburgh Castle Hotel will provide iced water free of charge.

Yours

It is the responsibility of the function organiser to ensure correct, proper and lawful behaviour of all invitees and other persons attending the function. The function organizer will be financially responsible for any damage or breakages to the Edinburgh Castle Hotel and or equipment owned or hired by the Edinburgh Castle Hotel.

Security Guards

To ensure our Patrons Safety the Edinburgh Castle Hotel provides Security Guards on busy nights. However if extra guards are required the client will be billed accordingly.

Decorations

Decorations may be allowed at private functions by prior arrangement. If so decorations may be attached to the walls using Blu Tack only. It is the responsibility of the function organizer to remove these decorations if they intend keeping them after the event.

Cleaning

Cleaning is factored into the cost of the function. If however the cleaning requirements after the function are excessive extra charges will be incurred by the function organizer.

Menu & price changes

All prices quoted are subject to change without notice. Seasonal variations may lead to unavailability of produce and /or unavoidable price changes. Should this be the case you will be informed of any changes to prices and/or dishes as soon as practicable. All quotes, once confirmed will be honoured at negotiated prices.
